What are the capacity limits and seating arrangements for the Hutchison Room?
The Hutchison Room accommodates up to 20 guests boardroom style or 40 guests theatre style. For smaller meetings, it can seat up to 18 boardroom style comfortably. The room is described as bright and versatile, making it suitable for away-days, conferences, and meetings.
What Day Delegate Rate (DDR) packages are available and what do they include?
Asia House offers DDR packages at £75 plus VAT per person with a minimum of 25 guests (note: some quotes show minimum of 40 guests). The package includes full-day room hire, pastries and fruit on arrival, unlimited tea/coffee/mineral water, mid-morning and afternoon breaks with biscuits, hot or cold fork buffet lunch, projector/screen/flipcharts, dedicated waiting staff, AC, and WiFi.
What are the catering minimums and options for smaller groups?
Hot or cold fork buffets require a minimum of 15 guests. For smaller groups (10+ guests), sandwich lunches are available with a minimum order of 10 guests. All catering is charged separately from room hire, and drinks are charged on consumption with no minimum spend requirement.
What AV equipment is available and what are the costs?
Available AV includes conference projectors (£250 plus VAT), plasma TVs (£150 plus VAT), PA systems (£300 plus VAT), and microphones (£85 plus VAT each). An AV technician costs £85 plus VAT per hour with a 4-hour minimum and is recommended when using more than 3 handheld microphones or any lapel microphones.
Is the venue wheelchair accessible and what facilities are available?
Yes, the Hutchison Room is wheelchair accessible. The building has a lift to access bathrooms on lower levels, and a ramp is placed outside the building for wheelchair users during arrival and departure. The building is described as fully accessible.
What are the typical event hours and any restrictions on timing?
Standard event hours appear to be 09:00-17:00 based on most quotes provided. The venue can accommodate setup time before events and offers flexibility on timing. Evening events are possible with additional room hire charges, and late licenses can be acquired until midnight for an additional £500 plus VAT per hour from 10pm.
What is the booking process and payment requirements?
To book, contact the Events Team who will check availability and provide detailed quotes. Payment is required before the event date, and invoices become overdue if not paid by the event date. The venue can place spaces on hold while clients make decisions, and site visits can be arranged to view the space.
Are there any restrictions on external suppliers or catering?
External caterers can be used with a dry hire fee of £600 plus VAT, which includes use of the ground floor kitchen. However, with dry hire, Asia House doesn't provide equipment, tables, chairs, linen, cutlery, glassware, or waiting staff - these must be hired separately at additional cost (chairs £3.50 plus VAT, tables £12 plus VAT).
What additional charges should I budget for beyond the base room hire?
Beyond the £750 plus VAT room hire, budget for: waiting staff (included in DDR packages but separate charge for room-only bookings), all catering and beverages (charged on consumption), AV equipment and technicians, any external catering dry hire fee (£600 plus VAT), and potential late license fees (£500 plus VAT per hour from 10pm).
