What are the venue hire rates for dining events and what's included in the base price?

Venue hire rates start from £4,825 VAT exempt for weekday hire or £7,175 VAT exempt for weekend hire, covering 2pm until midnight with supplier access from 12pm. For smaller dining spaces, individual rooms range from £1,400-£1,750 VAT exempt for evening hire from 6pm-10pm. The base price includes room hire only - all catering, AV, and additional services are charged separately.

What are the maximum dining capacities for seated events?

The maximum seated capacity for ceremony and dinner is 100 guests in the Beatrice Webb Room. The Music Room alone cannot accommodate dinner and drinks for 50 guests, requiring an additional room booking. For smaller groups, the Council Room seats up to 70 for dinner, while individual rooms like the Radhakrishnan Room accommodate up to 50 guests for private dining.

What are the mandatory catering costs and minimum spends?

A minimum evening spend of £1,000 + VAT applies for all dining events. Three-course dinners cost £66.50 + VAT per person, with wine packages at £17-£27 + VAT per person depending on selection. Welcome drinks start at £8 + VAT per person for prosecco, with canapes from £17.50 + VAT per person for 3 pieces.

Are there restrictions on external suppliers and what approval is required?

The venue has a detailed list of Approved Suppliers for Audio Visual, Production, and Floristry, plus Recommended suppliers. Use of any third-party suppliers outside this approved list must be agreed in writing by {10-11} Carlton House Terrace before booking confirmation. All catering must be provided by their in-house partner Searcys.

What are the booking deposit requirements and payment timeline?

Upon receipt of the signed hire agreement, a 50% deposit invoice is sent and must be paid before booking confirmation. You must wait to receive the official invoice before making payment as you'll need to quote the invoice number. Any delays in providing required PO numbers may result in delayed booking confirmation.

What room combinations are recommended for different guest numbers?

For 40-70 guests, hire of 10 Carlton House Terrace includes Council Room, Barnard Room, and Radhakrishnan Room with private lobby. For larger groups up to 100, hire of 11 Carlton House Terrace includes Gallery, Music Room, and Beatrice Webb Room. The Barnard Room works well for pre and post-dinner drinks with the Council Room for seated dinner.

Are there seasonal discounts or special offers available?

A winter offer provides £1,000 discount on venue hire for weddings taking place in October or November 2025. December bookings operate on a first-to-confirm basis due to high demand. Last-minute bookings may receive up to 20% discount on venue hire depending on availability.

What are the additional fees for extended hours and late service?

Additional hours after 10pm cost £500 VAT exempt per hour. Late catering service after 11pm incurs a £300 + VAT per hour fee. Catering service required before 8am also costs £300 + VAT per hour. Access for organizers is typically provided 15 minutes before the official start time.

What dining menu options and dietary accommodations are available?

Searcys provides seasonal menus with vegetarian/vegan options included in all three-course dinners. They can create bespoke South Asian inspired menus, though they note they are not specialized in South Asian catering. Halal options are available, and additional dish options for each course cost £20.50 + VAT per person.

What information is required to proceed with a booking?

To draw up a contract, you must provide: full name of signatory, organization, signatory email/telephone/address, finance contact details if different, and PO number if required for invoice processing. Room choice, AV requirements, and catering requirements must also be confirmed before contract generation.
