Initial proposals are typically valid for 7 days, after which spaces are automatically released if not confirmed. Some bookings may be placed on 'shared option' meaning multiple clients can hold the same dates until one signs a contract first. Payment terms and deposit requirements vary by booking size and should be confirmed during the contracting process.

What are the catering options and minimum spend requirements?

Catering ranges from £4 per person for basic tea/coffee to £29 per person for restaurant lunch. Day Delegate Packages start at £75-£85 per person including arrival refreshments, mid-morning break, lunch, afternoon break, room hire, and AV equipment. Some larger spaces have minimum food and beverage spends (e.g., £2,500 for Remix 1+2).

What capacity limits apply to different room setups?

The Arena accommodates up to 350 people in theatre style but only 162 with round tables. Remix 1+2 can hold up to 200 people in theatre style and 135 in cabaret setup (9 people per table). Studio spaces typically accommodate 100 people maximum in theatre style, with smaller studios suitable for 10-40 people depending on layout.

What are the audio-visual costs and requirements for external equipment?

Basic AV (screen, projector, flipchart) is included in most room hire rates. Additional equipment costs include PA systems from £650-£750, microphones from £90-£100 each, and AV technicians from £650 per day. October availability is very limited and results in higher costs due to demand. The Arena (23m x 18m) can accommodate up to 30 exhibition stands with 2m x 3m or 3m x 2m table configurations. Power supply to exhibition tables is available. Multiple breakout rooms can be hired simultaneously, with Studios 3, 6, 8, and 10 commonly used for smaller group sessions of 10-40 people each.

What live streaming and hybrid event capabilities exist?

Large conference 2-way live streaming equipment with up to 5 cameras is available from trusted AV suppliers at £3,300 per day. This allows up to 500 people to join online for hybrid events. The venue has fast WiFi suitable for live streaming, and audio feeds from room microphones can be integrated into the streaming setup.
