What are the pricing options for meeting room hire and what's included?

City Suite 1 offers two pricing structures: Day Delegate Rate at £70-£81 per person plus VAT (minimum 80-95 delegates) including room hire, three tea/coffee servings with snacks, lunch, water, flipchart, inbuilt projector/screen, stationery, and Wi-Fi, or room hire only at £4,000 plus VAT with coffee breaks at £6 per person plus VAT. Additional breakout rooms like City Suite 2 cost £1,000 plus VAT.

Can we bring our own caterers or use external food suppliers?

No, outside caterers are not permitted at Park Plaza London Riverbank. All catering must be provided by the venue's in-house catering team.

What are the capacity limits for different room configurations?

City Suite 1 accommodates up to 150 people in cabaret style, while City Suite 2-3 can hold up to 96 delegates in cabaret layout. The River View Lounge requires a minimum of 100 people and has a minimum food and beverage spend of £5,000 to waive exclusive room hire charges.

What AV equipment is included and what costs extra?

Inbuilt projector and screen with HDMI connection are included in Day Delegate Rates, but if a free-standing projector and screen are required due to room layout changes or increased numbers, additional costs apply. Integrated projector and screen costs £140 plus VAT per day when hired separately.

What are the minimum spend requirements for exclusive venue hire?

The River View Lounge requires a minimum food and beverage spend of £5,000 to waive exclusive room hire charges. For events with fewer than the minimum delegate requirements, room hire fees apply - for example, City Suite room hire starts at £400-£4,000 plus VAT depending on the space.

What security requirements and costs should we expect?

All events in the Executive Lounge require dedicated security presence: 2 security officers for up to 100 guests, 3 officers for 101+ guests. Security costs approximately £420 plus VAT for 2 officers for 6 hours (£35 plus VAT per hour per officer), though final requirements depend on guest numbers and event finish time.

What are the music and noise restrictions for evening events?

Music up to 80db is permitted until 11:00 PM, after which only background music can be played until midnight. These restrictions apply to all evening events and parties held at the venue.

What catering options are available for drinks receptions and events?

One-hour unlimited drinks packages (house wine, beer, soft drinks) cost £20-£22 per person plus VAT. Canapés range from £20 per person (5 items) to £28 per person (8 items) plus VAT. Bowl food options are £35 per person (5 items) or £49 per person (7 items) plus VAT, all with minimum guest requirements.

How far in advance do we need to confirm bookings and what are the hold periods?

For short lead events, decisions are typically required within days - one example showed a Tuesday confirmation deadline for a Monday event. Joint first options are held for specific periods (one example showed until 27th June 2025), and the venue releases space if no confirmation is received by the deadline.

Will the venue work within our budget or do they have minimum pricing thresholds?

The venue frequently declines enquiries that don't meet their budget requirements, with multiple examples of rejections due to budget constraints. They request budget information upfront and will only proceed with enquiries that align with their pricing structure, suggesting they operate at a premium level.
