What is the Day Delegate Rate (DDR) package and what does it include?

The DDR package costs £70.00-£102.00 per person and includes venue hire from 08:00-18:00, standard AV package (lectern, laptop, screen, projector, PA system, 2-3 microphones), dedicated hospitality space, refreshments on arrival, mid-morning refreshments, lunch, mid-afternoon refreshments with cake, venue staffing, utilities, furniture setup, free Wi-Fi, and dedicated event and hospitality managers. Additional VAT applies to catering and services.

What room layouts and capacities are available for different event formats?

The Woburn Suite (G22/26) accommodates up to 90 people in theatre layout or 50 in cabaret layout. Beveridge Hall can handle up to 160 people in cabaret layout with 20 round tables of 8 chairs each. The Senate Room costs £1,800 for 08:00-17:00 hire and includes complimentary screen and projector.

What are the standard AV equipment inclusions and how do I get additional equipment?

Standard AV includes laptop/PC, data projector, screen, internet access, and 2-3 microphones (in larger spaces requiring amplification). For additional AV beyond the standard package, you must contact ConferenceCast/Torpedo, the approved UoL AV provider, directly for quotes and arrangements.

Catering options include tea/coffee and biscuits at £4.75+VAT per person, working lunch at £15.50+VAT per person, sharing platters from £19.95+VAT per person, and hot or cold buffet at £23.95+VAT per person. A 1-hour Senate drinks package costs £15.95 per person. Additional charges apply for service outside standard hours and on weekends.

What forms are required for booking and what is the approval process?

All bookings require completion of an events application form and due diligence form before any quote can be finalized or dates held provisionally. These forms must be submitted for review and approval before being handed over to a dedicated event manager.

Are there capacity limitations for classroom-style setups with desks?

The venue cannot accommodate 40+ people in classroom format with proper desk space due to space constraints and long-term lease bookings occupying larger spaces. Available rooms like Senate 102, 106, and 107 have small flip-top tables better suited for tablets rather than laptops for extended writing sessions.

What are the availability constraints and booking limitations?

The venue frequently has limited availability, particularly in June 2025 which shows no availability. Many enquiries are declined due to lack of space, and the venue often refers clients to alternative venues when they cannot accommodate requests. Early booking is essential due to high demand and space limitations.
