What is the Day Delegate Rate pricing and what does it include?

The Day Delegate Rate is £55-£70 per person inclusive of VAT, with a minimum of 150-300 delegates depending on the package. This includes meeting room hire from 9:00am-5:30pm, early access from 7:00am, unlimited tea/coffee/refreshments with healthy options, 3-course hot buffet lunch, LCD projector and screen, flipchart, stationery and pens, Wi-Fi for all delegates, and a dedicated meeting host for the day.

What are the capacity limits for the Galleon Suite and different room configurations?

The Galleon Suite can accommodate up to 500 delegates in theatre style, 280 in cabaret style (Galleon Suite AB configuration), and up to 700+ for standing receptions. The venue features 719 square meters of pillar-free space with six crystal chandeliers and can be subdivided into smaller sections like Galleon A or Galleon AB as needed.

How far in advance do I need to confirm my booking and what happens if I don't respond?

Bookings are typically held for a specific decision date (example given was until 23 June 2025 for a December event). If confirmation is not received by the decision date, the booking will be automatically released for general sales. You must respond within the stipulated timeframe to secure your space.

What additional rooms and spaces are available with the main venue hire?

Breakout rooms are available and often complimentary with main room hire. Syndicate room hire is available for £1,200 (£1,000 + VAT). Exhibition and catering space is typically complimentary, and there's a complimentary organiser office included with bookings.

What are the setup and access arrangements for events?

Early access to meeting rooms is available from 7:00am on the day of your event (some quotes mention 8:00am access). The venue allows for evening-before setup for AV testing and exhibitor arrangements, though specific timing and costs for pre-event access should be confirmed when booking.

What AV equipment is included and what technical capabilities does the venue offer?

Standard package includes LCD projector (HDMI compatible laptop required), screen, basic built-in AV system, and flipchart. The venue can accommodate professional AV setups including staging, multiple screens, PA systems, microphones, and lighting for larger productions, though advanced AV requirements may incur additional costs.

What catering options are available beyond the Day Delegate Rate?

Beyond DDR, the venue offers drinks reception packages at £35 per person for 3 hours (including Peroni beer, house wine, soft drinks, fresh juices), with additional hours at £10 per person. Spirit upgrades available for extra £10 per person. External catering may be permitted for certain events, and sandwich lunches are available at £18 per person.

Is there commission offered for bookings and what are the rates?

Yes, commission is offered at 10% on gross for accommodation bookings and 10% on gross for food & beverage and Day Delegate Rate bookings. This applies to confirmed bookings and is calculated on the total gross amount before VAT.

What happens if the venue is already booked for my preferred dates?

If your preferred dates are unavailable due to confirmed events, the venue will ask about date flexibility and can recheck availability for alternative dates. For some bookings, they may offer to find alternative venues if no suitable dates are available at Royal National Hotel.

Are there any restrictions on event types or special requirements for certain bookings?

The venue accommodates various event types including conferences, corporate events, weddings, birthday parties, and award ceremonies. Large dinner events (500+ delegates) may impact availability for other bookings on the same day. The venue has lift and step-free access to the Galleon Suite and features a large dance floor for evening events.
