What are the pricing packages and what's included in each?

The venue offers several meeting packages: Standard Meeting Package at £109-£130.80 per person (includes breakfast, AM break, lunch, PM break), and Premium Meeting Package at £129-£154.80 per person (includes enhanced catering plus unlimited Nourish access with coffee, teas, snacks). All packages are subject to 20% VAT. Room rental/venue buyout fees range from £7,500-£17,400 per day depending on configuration.

What are the capacity limits for different event layouts?

The Events space can accommodate up to 400 attendees in theatre style, up to 240 in banquet/cabaret configurations. For conferences requiring breakout spaces, the venue can handle events with 200-500 total attendees across multiple rooms. The main plenary space seats 300 theatre-style with flexibility for up to 200 standing guests alongside seated attendees.

What mandatory additional costs should I budget for?

Serviced cloakroom is £450 plus VAT (£540 total). Out-of-hours access is charged at £1,000 per hour plus VAT (£1,200 total). Evening setup access for AV testing and exhibitor preparation costs £4,500 plus VAT for 4 hours. Reception packages start at £30 per person plus VAT for basic hosted bar service.

What are the standard event hours and setup access?

Standard events run 9:00 AM to 5:00 PM. Early access from 6:00-7:00 AM is available for load-in, with out-of-hours charges applying. Evening setup the night before is available for 3-4 hours for AV testing and exhibitor setup. Multi-day events can include overnight holds between days.

What AV equipment and technical capabilities are included?

The venue includes in-house AV with built-in technology, projectors, screens, microphones (lapel and handheld), full PA system, staging with lectern, confidence monitors, and uplighters. Advanced setups can include up to 10 lapel microphones, comfort monitors, show laptops, and streaming/recording capabilities. External AV suppliers can be accommodated with venue approval.

How many breakout rooms are available and what are their capacities?

The venue can provide 3-4 breakout spaces for smaller groups, with capacities ranging from 30-100 attendees each. Small meeting rooms accommodate 5-10 people for sponsor meetings or private discussions. The main plenary can double as a breakout space if needed, and separate catering areas are available.

What catering options are available and how are they priced?

Full-day catering includes breakfast, lunch, and AM/PM breaks. Premium packages feature hot buffet breakfast, multiple salads/sandwiches/hot entrees for lunch, and unlimited access to Climpson & Sons coffee and artisanal teas. Reception packages start at £30 per person for one-hour hosted bar with beer, wine, and bar snacks, with additional hours at £25 per person.

Can the venue accommodate exhibition space and sponsor activations?

Yes, the venue can accommodate up to 30 exhibitor tables alongside catering stations. Power is provided for basic exhibitor stand setups. The venue allows light branding opportunities including signage, pull-up banners, and potential digital branding. Sponsor showcase areas can be integrated with the main event flow for networking.

What is the booking and payment process?

Quotes are provided based on specific event requirements including attendee numbers, catering needs, and room configurations. Pricing varies significantly based on event size (£95,300 for 300-person 2-day conference vs £33,250 for 150-person single-day seminar). All prices exclude 20% VAT which is added to the final total.

Are there any restrictions on event dates or timing flexibility?

The venue can accommodate events throughout the year with various date options typically offered (multiple dates in March, April, June, September). Some clients specify fixed dates with no flexibility. Multi-day events spanning 2-3 days are accommodated, including partial days (half-day events from 12:00 PM-5:00 PM or 9:00 AM-2:00 PM).
