What are the site visit restrictions and when can I view the venue?

Site visits must be scheduled between 9:30am and 11:30am, and the venue cannot show rooms after midday. You'll need to arrange your visit within this morning window to view the available event spaces.

How long can I hold a space without confirming, and what are the booking deadlines?

The venue typically holds spaces for 2-3 weeks maximum before releasing them. You may receive 24-hour deadlines to confirm or release your booking, and some bookings require signed contracts and payment by specific dates (such as 28 days before events in June).

What catering options are available and what are the exact costs?

Tea and coffee options range from £3.50 +VAT (basic) to £14.00 +VAT (unlimited). Enhanced options include Tea, Coffee and Biscuits at £5.50 +VAT, Tea, Coffee and Cake at £7.50 +VAT, and Tea, Coffee and Pastries at £8.00 +VAT per person.

What is included in the Day Delegate Rate and what does it cost?

The Oval Day Delegate Rate costs £81.00-£97.20 +VAT per person and includes room hire from 7am-5pm, arrival breakfast rolls & overnight oats with tea/coffee, mid-morning biscuits with tea/coffee, hot finger food buffet lunch, mid-afternoon cake with tea/coffee, fruit and filtered water throughout the day, screen & projector, flipcharts, and complimentary organiser parking (subject to availability).

What are the minimum capacity requirements for different spaces?

The Corinthian Roof Terrace has a minimum requirement of 100 people. Other spaces appear to have varying minimums, so you should confirm specific capacity requirements when enquiring about your chosen room.

What AV equipment is included and what are additional costs?

Basic rooms include built-in screen & projector, PA system, and 2 handheld microphones. Enhanced AV packages are available: England Suite AV Package costs £3,495.00 +VAT, 175 Suite AV Package costs £10,350.00 +VAT, and Ashes Suite Conference Package costs £3,495.00 +VAT, all provided by in-house supplier Encore Global.

Can I use external suppliers and what restrictions apply?

You can bring your own AV company for setup, and external caterers may be permitted in some circumstances. The venue has preferred suppliers for team building (emma@gotoevents.co.uk), gin masterclass (laura@aokevents.com), and cricket experiences (info@ballsportz.co.uk). You should confirm external supplier policies when booking.

What are the setup and access times, and are there additional costs?

Standard room hire includes 7am-5pm access. Setup days are available as separate charges: England Suite setup costs £7,500.00 +VAT, Ashes Suite setup costs £6,500.00 +VAT, and smaller rooms like India/Pakistan/John Major cost £4,000.00 +VAT each for setup days with 7am-11pm access.

What restrictions apply during cricket matches and game days?

Event spaces are unavailable during T20 fixtures and cricket matches - these dates require hospitality bookings instead starting at £149pp +VAT. You cannot book regular event space when cricket is being played, so check the cricket calendar when planning your event dates.

What payment terms apply and when do I need to pay?

The venue requires the contracted amount to be paid before they will hand over coordination to your event coordinator. For events close to the date, you may need signed contracts and full payment within specific timeframes, such as by the 28th of the month for June events.
