What are the capacity limits for different event setups in each space?

Foyle 1 accommodates 100 guests in theatre style. Foyle 2 seats 80 guests cabaret style (10 tables with 8 guests each) or 100 theatre style. The Atrium can host up to 150 guests for standing receptions. The Foyer and Atrium combined can accommodate up to 300 guests for seated dinners across both levels.

What AV equipment and staging is included in the venue hire?

Foyle 1 includes a projector, large screen, built-in speakers, lectern, staging, and microphones within the hire fee. Foyle 2 has two projectors and screens for presentations, plus modular staging, lecterns, and microphones available. The Atrium can provide staging, microphones, and uplighters for events.

Are there additional security charges for certain days or times?

Yes, events on Mondays when the museum is closed to the public require security to have main doors opened and manned throughout the hire. This costs £187 +VAT and requires a separate agreement. The security charge is approximately £20 per hour as a guide.

What catering options are available and who provides them?

Daytime catering is provided exclusively by in-house partners Searcys, who offer menus including seated lunch/dinner, fork buffets, and bowl food options. For evening events, you can choose from a list of approved external caterers or use Searcys. All catering is arranged directly with the chosen provider and quoted separately from venue hire.

Can spaces be combined and how do they connect?

Yes, spaces can be hired in combination. Foyle 1 and 2 are adjacent conference rooms that work well together. The Foyer connects to both the Atrium and Café, making it perfect for combined hire. The Atrium sits directly under the suspended Lynx helicopter and connects to other spaces via split levels.

What are the access times and setup requirements?

Daytime events typically run 09:00-17:00. Evening events have access from 17:30 when the museum closes to the public. Deliveries and collections must be booked for the day of the event and labeled 'FAO Venue Hire National Army Museum' for security to alert the venue hire team.

Are there discounts available for certain types of organizations?

Yes, registered charities receive a discount on venue hire fees. For example, the Foyer and Atrium evening hire was quoted at £4,352 +VAT with charity discount applied, compared to the standard £3,790 +VAT for Atrium alone.

What exhibition and display capabilities are available?

The venue can accommodate up to 30 exhibition stands maximum - 16 in Foyle 2 and 14 in the Atrium. Each space has multiple power outlets, and extension cables can be provided by the IT team. Standard table top space is 75cm x 150cm, and exhibitors needing more space should be allocated two plots.

What booking process and payment terms apply?

To confirm a booking, you must complete and sign an order agreement providing company details, contact information, and full address. The finance team will then send an invoice to the email address supplied. Additional agreements may be required for services like security on Mondays.
